WrkSense: Multi-role candidate management for recruitment agencies

Role: Product Designer · Timeline: 2024 · Team: 2 UX/UI designers, fullstack dev, CEO

WrkSense gives recruitment agencies one place for candidate management, communication, and collaboration across four connected user types: recruiters, candidates, companies, and agencies. Meeting scheduling, candidate tracking, and shared notes all live in the same tool.

The problem

Recruiters, candidates, companies, and agencies each needed a distinct workflow inside one coherent platform, and the client’s branding was still changing while we built it.

Research & ideation

Studied existing recruitment platforms to find the friction, then worked out how to organize interactions between four user types, including how meeting scheduling and candidate tracking should behave.

Wireframing & prototyping

Mapped candidate profiles, recruiter dashboards, and meeting management in wireframes, then built interactive prototypes to visualize flows between the different roles.

UI design

Designed the final UI for clarity per role while the client's branding was still in development. The feedback loop ran through several rounds before they settled on a direction and stopped moving it.

Feedback & iteration

Iterated with the client and internal stakeholders as requirements evolved, keeping role-based access controls and dashboards intuitive throughout.

Challenges & solutions

The outcome

Delivered the UX/UI for a multi-role platform with role-based access, meeting scheduling, and shared candidate notes, designed alongside two other designers and held together by one shared system.
